Written for the people who have to sign off: management-company principals, board presidents, their insurers and their counsel.
1. Who owns the data
The association owns its uploaded records, summaries, decisions and question-and-answer history. We are a custodian, not an owner.
2. Export and exit
Export is self-serve, community by community. Authorized officers and assigned managers can take the original files and the community archive at any time.
3. How AI is used
Relevant record excerpts are sent to an AI provider only to answer the request in front of it. Powe Products LLC does not use customer documents or prompts to train foundation models. The assistant cites the source and page or it refuses. It does not give legal, financial or other professional advice.
4. Association separation
Access is scoped by account role and association assignment. Managers reach only assigned communities. Board-only records are excluded from resident answers, and resident access can be switched off entirely.
5. What we use vendors for
Cloud hosting and storage, AI processing, Stripe payments, transactional email, and operational monitoring. For the current subprocessor list, email support@myhoabrain.com.
6. What we do not claim yet
We do not display a SOC 2 report, an ISO certificate, or a named AI vendor on this page until those are executed and we can stand behind them. Buyers can request current provider terms during diligence.
7. Incident and privacy requests
Email support@myhoabrain.com. Privacy requests sent to privacy@myhoabrain.com reach the same inbox. California residents may request access, correction or deletion as described in our Privacy Policy.

Authorized officers and assigned managers can export original files and community records. Portfolio export runs one community at a time.
Backups and recovery detail

The service uses managed backups. Retention, hosting location and recovery details are supplied during diligence.

DPA and incident commitments

A DPA is available for review. Notification contacts and any response commitments become effective only in a signed agreement.
SOC 2 certification

My HOA Brain is not SOC 2 certified today and does not imply otherwise.
Live platform integrations
Not currently offered
There is no live sync with AppFolio, Buildium, Vantaca, TOPS or CINC today. Libraries enter by individual file, folder or ZIP export.
What this product does not do
- It is not legal counsel and does not replace your attorney or a reserve specialist.
- It is not accounting software and holds no general ledger.
- It is not your system of record for balances, violation status or architectural approvals.
- It does not track Civil Code changes or tell you when statute makes a rule stale.
- It does not replace work orders, packets, or your portal — it answers from what is on file.
- Direct connections to common management platforms are on the roadmap; they are not available today.
- My HOA Brain is not a HIPAA product and is not intended for medical records.
