Privacy Policy

We do not sell customer documents or personal information. We do not use customer documents or prompts to train foundation models. Questions and privacy requests go to support@myhoabrain.com.
Information we collect
We collect account and contact information, association and management-company details, uploaded records, information entered into the web app, support communications, payment status, and technical records needed to secure and operate the service. Uploaded records may include owner lists, minutes, governing documents, contracts and financial documents chosen by the customer.
How we use information
Powe Products LLC uses this information to provide, secure, support and improve My HOA Brain; process customer requests; maintain association-specific search and history; communicate service information; prevent misuse; and meet legal obligations.
AI processing
When an authorized user asks a question or requests analysis, relevant portions of that association’s uploaded records may be sent to an AI service provider to produce the requested result. Customer documents and prompts are not used by Powe Products LLC to train foundation models. AI output may be inaccurate and must be reviewed before action is taken.
Service providers
We use service providers for cloud hosting and storage, AI processing, payment processing through Stripe, transactional email, and operational monitoring. They may process only the information needed to provide their service to us. A current subprocessor list is available by emailing support@myhoabrain.com.
Association separation and access
Access is limited by account role and association assignment. Association records are separated in the database, and board-only records can be excluded from resident access and resident AI answers.
Sale and sharing
We do not sell customer documents or personal information. We do not share personal information for cross-context behavioral advertising.
Retention, export and deletion
We retain information while an account is active and as needed for service, security, billing and legal obligations. Authorized board officers and assigned managers can export community records. An authorized customer may request deletion in writing; we will confirm scope and timing, subject to legal, security and backup-retention requirements.
California privacy requests
California residents may request access to, correction of, or deletion of personal information, subject to applicable exceptions. We may need to verify identity and authority, particularly when a request concerns association-controlled records. We will not discriminate against a person for making a privacy request.
Children
My HOA Brain is a business service for associations, managers and adult residents. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.
