Management company partner brief

A contained pilot, clear ownership and no replacement story.

Keep the client relationship. Evaluate searchable association memory with three communities before considering a broader rollout.

Discuss a 3-community pilot

90-day structure

A decision at each stage

PHASE 1

Choose three communities

Select a practical mix: one clean library, one scanned or older archive, and one community with recurring board or resident questions.

PHASE 2

Prepare and import

The partner confirms authorization and supplies exported folders or ZIP files. My HOA Brain supports upload, classification review, access controls and manager setup.

PHASE 3

Review at the midpoint

Review adoption, citation quality, corrections, support volume and manager feedback. Adjust the corpus or resident access before expanding use.

PHASE 4

Continue or exit

At day 90, choose whether to continue. There is no automatic portfolio rollout. Authorized users can export each community’s records and original files.

Sample scorecard

Agree on the measures before launch

These are starting measures, not promised thresholds. The partner and My HOA Brain set the actual targets together.

  • Time required to retrieve an answer before and during the pilot
  • Citation accuracy confirmed through manager or board review
  • Manager-reported time saved on repeat questions and document searches
  • Active board and manager users, measured without inventing an adoption target
  • Questions corrected, withheld or escalated for professional review
  • Support requests and onboarding effort for each community

Commercial terms agreed before launch

The written pilot order covers the per-community rate, who pays, onboarding scope, support channel and expectations, cancellation, and export. This page is not a binding quote and does not promise an SLA.

Partner logo and company name may appear on HOA signup. My HOA Brain remains identified as the software provider in legal and trust materials.

Proof without theater

We will publish measured results, reference calls, logos or testimonials only after a completed pilot and written customer permission. Until then, the pilot is the proof process.
